What you’ll Do

As the Administration Assistant at Wivenhoe, you will support the Operations Team with day-to-day administrative tasks which include, but are not limited to, working a roster of 7:00am to 2:30pm:
 
  • Review and update the document management system, work instructions and internal documentation 

  • Ensure compliance schedules are being met 

  • Purchasing supplies and raising purchase orders 

  • Electronic and paper file & system management 

  • Compose, type, and distribute meeting notes, routine correspondence, newsletters and reports 

  • Establish and maintain templates for internal and external site presentations 

  • Support the implementation of safety, quality, and compliance improvement opportunities 

  • Support on-site audits, evaluate audit findings, and implement and finalise corrective actions 

  • Assure ongoing compliance with quality and industry regulatory requirements 

  • Conduct searches to find needed information, using such sources as the Internet 

  • Monitor training needs and then engage with internal and external training providers and updating including training matrix 

  • Communicate with facility representatives and contractors for site activities 

  • Undertaking the ongoing administration of Food Safety and Workplace Safety systems 

  • Support the implementation of HACCP, GWP and Workplace Safety improvement opportunities 

  • Ensure compliance schedules are being met 

  • Reviewing and update Food Safety and Workplace Safety systems and processes including work instructions 

  • Supporting staff and operations with ad-hoc tasks 

  • Follow attendance policy, show up for work on time and ready to work assigned shift. 

 

What Experience and Education You Need

  • Minimum 5 years’ experience as an Administrator in a fast-paced environment 

  • A strong focus on safety 

  • Demonstrated ability to work in fast-paced, deadline-oriented environment both in a team and autonomously 

  • Basic understanding of interpreting legislations and standards or the ability to research information 

  • Strong problem-solving, planning and organisational skills 

  • A high level of resilience and adaptability to changing situations including a ‘can do’ attitude 

  • Experienced with Microsoft Office Suite, especially Teams & Excel 

  • Must be able to relate to other people beyond giving and receiving instructions: they must get along with co-workers without exhibiting behavioural extremes; perform work activities requiring reasoning, negotiating, instructing, persuading, or speaking with others; and respond appropriately to feedback. 

Physical Requirements 

  • Requires the ability to sit for long periods of time, with frequent interruptions

  • Requires several hours per day of sitting, getting up and down from chairs, and reaching, or bending

  • Requires manual dexterity with normal hand and finger movements for typical office work

  • Talking, hearing, and seeing are important elements of completing assigned task

  • May require travel by automobile and aeroplane for business

  • May require visits to warehouse operations in temperatures at or below freezing

  • May require carrying loads related to travel and the occasional lifting, carrying, positioning, and/or moving of objects weighing up to 20 pounds

  • Requires the use of various electronic tools
